Terms and Conditions for Party Bus Hire

1. Booking and Payment

  • Deposit: A non-refundable deposit of 50% of the total booking cost is required to confirm your reservation.

  • Full Payment: The remaining balance is due [number of days] before the scheduled event. Failure to make full payment by this date may result in cancellation of the booking without refund.

2. Cancellations and Refunds

  • Cancellation by Client:

    • Cancellations made more than four weeks prior to the event will forfeit the deposit paid.

    • Cancellations made between one and four weeks prior to the event will forfeit the greater of the initial deposit or 50% of the total booking cost. If we are able to resell your booking for the same or greater value, we will refund any cancellation charge over your initial deposit.

    • Cancellations made less than seven days prior to the event require full payment. If we are able to resell your booking for the same or greater value, we will refund any cancellation charge over your initial deposit.

  • Cancellation by Company: We reserve the right to cancel the booking due to unforeseen circumstances, such as vehicle breakdowns or adverse weather conditions. In such cases, a full refund will be provided.

3. Postponement Policy

  • More Than Seven Days Notice:

    • If cancellation is made more than seven days prior and we are able to resell your booking for the same or greater value, there will be no postponement charge, and all payments will be held for the new date.

    • If cancellation is made more than seven days prior and we are not able to resell your booking for the same or greater value, your initial deposit is held as a cancellation charge, and the balance of payments will be held for the new date.

  • Less Than Seven Days Notice: Cancellations made with less than seven days’ notice will be at the discretion of management.

4. Alcohol and Smoking Policy

  • Alcohol: Guests are permitted to bring their own alcoholic beverages. Consumption is allowed only by individuals of legal drinking age. The driver reserves the right to refuse service to any guest who appears intoxicated.

  • Smoking: Smoking is strictly prohibited inside the bus. Designated smoking breaks can be arranged upon request.

5. Behavior and Conduct

  • Responsibility: The client is responsible for the behavior of all guests during the hire period. Any damage to the vehicle or inappropriate behavior may result in additional charges or immediate termination of the service without refund.

  • Prohibited Items: The following items are strictly prohibited on the bus:

    • Illegal drugs

    • Weapons

    • Fireworks

    • Excessive amounts of alcohol

    • Any items that may cause damage or excessive mess

6. Safety and Compliance

  • Seating: All passengers must remain seated while the bus is in motion. Standing or moving around the bus during transit is not permitted.

  • Emergency Procedures: Guests must adhere to all safety instructions provided by the driver and staff. In case of an emergency, follow the driver’s instructions promptly.

7. Liability

  • Company Liability: We are not liable for any personal injury, loss, or damage to personal belongings during the hire period. Guests are advised to keep their belongings secure at all times.

  • Client Liability: The client agrees to indemnify and hold harmless the company against any claims arising from the actions of the client or their guests during the hire period.

8. Miscellaneous

  • Duration: The hire period begins at the agreed-upon start time and ends at the agreed-upon end time. Additional charges may apply for overtime.

  • Route and Stops: The driver will follow the agreed-upon route and make stops as requested, provided they are safe and legal.

  • Force Majeure: The company is not responsible for delays or cancellations caused by events beyond our control, including but not limited to natural disasters, traffic accidents, or government restrictions.

9. Pickup Location Restrictions

  • Street Suitability: Our buses are large vehicles and require suitable roads for safe operation. If the designated pickup location is on a street that is not suitable for our bus size—such as narrow roads, dead-end streets, or areas with limited turning space—we may need to adjust the pickup point to a nearby location that accommodates our vehicle. The driver will assess the suitability of the pickup location and may contact you to arrange an alternative pickup point if necessary.

10. Amendments

These terms and conditions are subject to change. Clients will be notified of any significant changes prior to the event.

11. Governing Law

These terms and conditions are governed by the laws of [Your Jurisdiction]. Any disputes arising from the hire agreement will be resolved in the courts of [Your Jurisdiction].
